# Workflow automation

We pick one repetitive task and start with the smallest automation that helps.

## One workflow first. Expand after learning.

Start with one flow, such as collecting enquiries, drafting quotes or reminders; connections are verified during discovery.

## Scope

- **Current workflow map**: Identify where information comes from, who owns it and where effort is repeated.
- **A bounded pilot**: Define one workflow, access roles and acceptance criteria for the first implementation.
- **Error and follow-up handling**: Agree what happens with missing data, failed connections and duplicate operations, and who intervenes.

Your accounting software keeps running. Agree which apps connect, which data moves and which steps need approval.

## Questions

### Does automation require AI?

Not always. Field transfers, status tracking and fixed rules can often work without it. AI is considered for a suitable task such as interpreting unstructured text.

### Can you connect every tool we use?

We do not assume that. APIs, authorisation, usage terms and data access are checked. Without a suitable connection, an alternative flow or manual step may be necessary.

### Does the system decide quote prices?

It can prepare drafts from service templates; the business controls scope and pricing. Sending and consequential actions remain subject to human approval.

### How do we measure success?

Record the baseline before the pilot, then compare relevant measures such as missing records, quote preparation time, delayed follow-ups and support effort. We do not promise savings before measuring them.
